Inventory
The preparation in conjunction with the Landlord of a basic inventory of the contents of the property, including comments on decorative state and condition.
Services
On behalf of the Landlord, we will instruct the electricity, gas and telephone authorities where appropriate, to prepare final accounts and advise them of the new occupant.
Rent Collection
During the Tenancy we will demand and collect the rent by standing order.
Outgoings
As long as we hold funds to do so, we will pay current outgoings such as ground rent, rates, insurance premiums and any service charge and/or maintenance charge or similar contributions to shared expenses, and account to you regularly.
Inspection and Defects
Our Management will include investigation of defects which come to our notice or are clearly and adequately brought to our attention by the Tenant. We will inspect the property on a three-monthly basis.
Maintenance and Repairs
We will arrange for minor (up to £ 50) maintenance and repairs to be carried out by contractors and workmen and the amount will be accounted for in your monthly statement. Larger repairs will be reported to you and we will take your instructions.
Service contracts are desirable for domestic appliances and boilers.
Gas Safety Regulations
As a result of the Gas Safety Regulations which came into force in October 1994 (amended 1998), before we can let or manage a property, a valid Certificate of Testing and Soundness of all appliances and pipework must be in force. If no certificate is available, we will arrange a test by a registered CORGI engineer.
Instruction to Solicitors
You will be informed of any rent arrears or breaches of Covenant brought to our attention. However, if it is necessary for a Solicitor to take action, unfortunately you will be responsible for instructing your own Lawyer and for all the fees involved as under current English Law an Agent cannot act on your behalf in these matters. We will of course provide all necessary information to your Solicitor and co-operate fully with him/her.
Taxes Management Act
Where the Landlord of the furnished property resides abroad, the Inland Revenue will hold us, as your Agents, responsible for the payment of the tax liability which arises on rents collected by us on your behalf. Accordingly, if you are resident abroad, it will be necessary for us to deduct Income Tax at the basic rate and hold the amount so deducted to your credit until the taxation liability has been agreed with the Inspector of Taxes. If you subsequently move abroad, it will be necessary for us to commence this deduction from the time you leave this country. The monies deducted will be placed on deposit and will earn interest on your behalf. The eventual liability for tax may be considerably less that the amount we have retained, and we suggest that you employ accountants or other tax advisers to agree your assessment each year with the Inspector of Taxes. When this has been settled, we are then in a position to account to you for any surplus we may have deducted for that tax year.
Accounting
We will account to you monthly, either by cheque posted to a nominated address or directly into your Bank Account by electronic transfer.
Changes of Tenancy
We will check out Tenants, inspect the property, check the Inventory and administer the return of the Deposit.
Securing New Tenants/Renewals
Towards the end of the Tenancy, we will contact the Tenants to ascertain whether they intend to renew or terminate their Tenancy (subject to your instructions). If they intend to terminate, or are unsure as to their intentions, we will remarket the property, and attempt to secure new Tenants at the end of the Tenancy.
